Executive Assistant to the CEO (Wine Jobs: Management & Administration)

Gibbston Valley Winery is seeking a dynamic Executive Assistant for our Queenstown based winery.

The successful applicant will be an experienced EA, who will ensure that the CEO has excellent administrative support, enabling him to focus on business development and highlevel management issues. You will assist Senior Department Heads and members of the Board in a Company secretarial role and undertake a variety of administrative, clerical and managerial tasks.

The ideal candidate is an excellent organiser and communicator with a proactive and friendly attitude. You will have the multi-tasking ability, ability to deal with confidential matters discreetly and flexibility to work in this dynamic and ever-evolving environment, and will work well under pressure to meet tight deadlines.

Duties include:

• Dictation typing and proof reading for the CEO
• Organising of meetings
• Time/diary management
• Organising correspondence and following up on pending matters with limited direction
• Preparing correspondence on the CEO's behalf
• Responding to urgent requests
• Organising and preparing documents, preparation of meeting and board papers
• Co-ordinating and booking travel arrangements
• Assisting with organising events
• Creating spreadsheets, composing correspondence, managing databases and word processing
• Negotiating with vendors, maintaining and examining leased equipment and purchasing supplies

Experience and skills required:

• A minimum of 2 years in an Executive Assistant role
• Highly proficient in Microsoft Office, Excel, Word and PowerPoint
• Experienced dictation typing and proof reading skills
• Highly developed organisational skills
• Maturity to handle a range of situations
• A meticulous and thorough nature
• An ability to work to tight deadlines
• Outstanding verbal and written communication skills
